1. Who is responsible
Prabin Dosad Photography (“we”, “us” or “Studio”) is responsible for personal data handled in connection with enquiries, bookings, photography and cinematography services, website use and client support.
2. Information we collect
- Identity and contact details, including names, email addresses, phone numbers, addresses and authorised contact persons.
- Event and booking details, including dates, venues, schedules, rituals, preferences, package selections, quotations, contracts, payments and communications.
- Photographs, video, audio and related creative material captured at events, which may include clients, family members, guests and children.
- Information submitted through website, career or enquiry forms, including portfolio links, CVs and role preferences.
- Technical data such as device/browser information, IP address, pages viewed, cookie identifiers and security logs where collected by our website or service providers.
- Transaction records from payment providers. We do not intentionally store complete payment-card credentials.
3. How we receive information
We receive information directly from you, from a person acting for your family or event, during photography and filming, from venues or planners you authorise, and through Wix, WhatsApp, email, social platforms and other services you choose to use. If you provide another person’s details, you should have authority to do so and inform them where appropriate.
4. Why we use information
- Respond to enquiries, prepare quotations and reserve dates.
- Plan, provide, edit, deliver and support contracted services.
- Process payments, invoices, refunds and maintain business records.
- Coordinate with venues, planners, crew, laboratories, album makers, couriers and other necessary suppliers.
- Protect people, equipment, systems and data; prevent fraud and resolve disputes.
- Comply with tax, accounting, legal and regulatory obligations.
- Use selected work in our portfolio and marketing only under the agreement and applicable consent or other lawful basis.
- Send marketing where permitted; you may opt out at any time.
5. Legal basis and consent
We process personal data for lawful purposes connected with your request or contract, compliance with law, legitimate business operations where permitted, and consent where consent is required. You may withdraw consent for future consent-based processing by contacting us. Withdrawal does not invalidate earlier lawful processing and may not require removal of material that we must retain or that has already been lawfully published beyond our control.
6. Event guests and sensitive moments
Wedding coverage naturally records attendees. Clients should communicate agreed photography arrangements and tell us in advance about private areas, people who must not be photographed, restrictions involving children and sensitive religious or personal moments. We will use reasonable efforts to respect clear advance instructions.
7. Sharing and service providers
We may share only what is reasonably needed with photographers, cinematographers, editors, album/print laboratories, couriers, cloud storage providers, accountants, advisers, payment providers, Wix and other technology or business suppliers. They may process data under their own terms or our instructions. We may disclose information where required by law, to protect legal rights or safety, or as part of a lawful business transfer.
8. Wix, links and third-party services
The website is hosted using Wix services. Forms and site operations may therefore involve Wix systems. Links to WhatsApp, Instagram, Pinterest, payment services or other third parties take you to services governed by their own privacy policies. We do not control their independent processing.
9. Cookies and analytics
Essential cookies or similar storage may support security and site operation. Analytics or marketing technologies, if enabled, may measure site use and campaign performance. Browser controls can restrict cookies, although parts of the site may not work correctly. Where law requires consent for non-essential technologies, an appropriate choice mechanism should be used before they are activated.
10. International processing
Some technology providers may store or process information outside India. Where this occurs, we use providers and safeguards considered appropriate for the service and applicable law, subject to lawful cross-border restrictions.
11. Retention
We retain enquiry and project information only as long as reasonably needed for booking, delivery, support, legal, tax, accounting and dispute purposes. Working and delivered media may be retained for operational backup or archival periods communicated for a project, but permanent storage is not guaranteed. Unsuccessful career applications are normally deleted or anonymised when no longer needed unless the applicant agrees to future consideration.
12. Security
We use reasonable administrative, technical and physical safeguards appropriate to the information, including controlled access and backup practices. No internet transmission or storage system is completely secure. Please avoid sending unnecessary identity or financial documents through ordinary messages.
13. Your choices and rights
Subject to applicable law and lawful exceptions, you may ask for information about processing, correction or updating of inaccurate data, deletion of data no longer required, withdrawal of consent, and grievance handling. We may verify identity and authority before acting. Requests may be limited where retention or processing is required for legal claims, tax, contract performance, security or the rights of others.
14. Children
Our services are not directed to children for independent online purchase. Children may appear in event coverage arranged by responsible adults. A parent, guardian or authorised client should communicate relevant restrictions. We do not knowingly seek unnecessary personal data directly from children.
15. Marketing
You may opt out of promotional email or messages at any time by using the offered option or contacting us. Service communications about an enquiry, booking, delivery, payment or safety may still be sent while relevant.
16. Complaints
Contact us first at the email above with “Privacy request” in the subject. Describe the request and the relevant project. You may also use remedies available under applicable Indian data-protection and consumer law.
17. Changes
We may update this policy to reflect service, technology or legal changes. The effective date at the top identifies the current version. Material changes will be communicated where required.
